Join a dynamic team dedicated to ensuring patient safety and promoting infection prevention and control within our healthcare organization.

We are seeking a highly skilled and motivated individual to serve as the Personal Assistant to our Nursing Director in the Infection Prevention & Control Service.


As a key member of the Infection Prevention & Control Service, you will work closely with the Nursing Director to coordinate administrative tasks, manage communications, support quality management initiatives, and foster effective relationships with stakeholders.

Your role will be instrumental in ensuring the smooth operation of the IPC Service and contributing to the organization's mission of providing safe healthcare environments.

Responsibilities:


  • Coordinate daily, weekly, and monthly milestones to support the Nursing Director in achieving business objectives.
  • Manage the Nursing Director's diary and resolve conflicting priorities.
  • Handle communications, phone calls, and correspondence, serving as a point of contact for internal and external partners.
  • Liaise with accounts payable staff and purchasing officers for IPC Service expenditure.
  • Monitor and order IPC Service supplies and office resources.
  • Produce reports, presentations, and briefs as required.
  • Assist with new staff recruitment activities, including interview scheduling and onboarding processes.
  • Maintain confidentiality and privacy of sensitive information at all times.
  • Display critical thinking and identify opportunities for efficiency improvement in office management.
  • Coordinate IPC Service staff travel arrangements.
  • Maintain uptodate SharePoint site of IPC policy documents.
  • Build and sustain professional relationships with key stakeholders.
  • Ensure IPC team members remain connected for meetings using communication technologies.
  • Coordinate administrative duties for IPC Service Committees and Working Groups.
  • Act as a frontline point of contact for IPC Service inquiries.
  • Provide administrative assistance during IPC risk events and outbreaks.

  • Proven experience providing executive-level administrative assistance.
  • Excellent time management and prioritization skills.
  • Ability to handle critical tasks with confidence and discretion.
  • Strong attention to detail and ability to manage competing priorities.
  • Resilient with a positive attitude and flexibility in shifting priorities.
  • Initiative and ability to think ahead, offering suggestions for improvement.
  • Excellent communication skills, both oral and written.
  • Understanding of professional relationships in a complex organizational environment.
  • Desirable: Experience in document production, understanding of the healthcare sector, and project management support.
